JOIN OUR TEAM JOB TITLE: Operations Administrative Assistant REPORTS TO: Director of OperationsEMPLOYMENT TYPE: Part-Time (Hours TBD)In person mornings when classes are in session and virtual for all other tasks. GENERAL FUNCTION: In this position many times this is the first person anyone sees or talks to at MAX. They are the host or Hostess for MAX daily. This position handles client PR, student administration and some other general office support. To perform well in this role, the person in this role must be self-motivated, possess strong interpersonal and teamwork skills, have literacy in Word and Excel, and adapt readily to new technology. Must have a great smile and be upbeat all the time. PRIMARY RESPONSIBILITIES: Class Resources (Corporate), which includes: Order books/eLearning Order Exams, if needed (ITIL, MS, etc.) ITIL Welcome kits Monitor class attendance and update database Add classes to MTM evaluation system and issue report Send out weekly events and class schedule to MAX staff Shipping/mailing of student material and Offsite Packages Print last minute books for students, if needed Partner's certificates (add to checklist to make sure it is received) Schedule MAX/partner classes MAX Course Completion certificates Change class status to complete in database Front Desk/General Office, which includes: Front desk Purchase any items needed for the break room and facility (food, office supplies, cleaning supplies, etc) Maintain coffee machine Morning setup Registrar backup Telephone coverage Mail – Daily (take out and pick up) Water office plants Order flowers when needed Marketing - ordering (pens, highlighters, note pads) Add or Update course outlines on website Travel, which includes: Travel for staff, including CEO Make travel arrangements for instructors when needed This role may require job-related tasks other than those specifically mentioned.
